Print and Graphics Services aim to provide the best service while meeting job order deadlines. Please adhere to the following guidelines:

  1. Request Origin: All printing/graphics requests must originate from the school principal or designated administrator. Requests from band directors, drill team sponsors, choir directors, or any school group sponsors require principal approval. Special programs or grants projects need approval from the program administrator.

  2. Notice: A minimum 10-business day notice is required for all job orders. Requests are treated on a first-come, first-served basis. Emergency requests are considered individually.

  3. Coordination: Principals, central office administrators, and program administrators should assign an individual to coordinate printing/graphics requests for timely and efficient processing.

  4. Ad-Free Materials: Except for athletics programs (e.g., football programs) and school yearbooks, only ad-free materials will be printed.

  5. Payment: All requests must be accompanied by a purchase order or school check.

  6. Proofreading: The request originator is responsible for proofreading. Print & Graphics Services will provide a draft upon request for proofreading/revisions.

  7. Project Limitations: Graphic Services have limitations on logos, layouts, and color projects. Staff will assist schools and departments to produce attractive materials.

  8. Order Quantity: Only originals requiring 50 copies or more are handled. Requests for copies must include copyright approval.

The Printing Process

  1. Order Reception: An order form is filled out indicating paper color and other details.
  2. Order Entry: The order is entered into the department's database, priced, and assigned a job work order.
  3. Production Schedule: The order is scheduled, and details like paper type and printing sides are checked.
  4. Printing: The original is scanned and printed. The scanned copy is deleted post-printing.
  5. Bindery: Printed sheets are folded, drilled, cut, numbered, glued, or spiral bound as requested. Booklets are produced in 8 ½” x 11” or 11” x 17” paper stock.
  6. Delivery: Completed jobs are wrapped or boxed and sent through district mail delivery vans.

Basic Originals

  • Originals should have a 3/8” blank border at the top and 1/8” along the other sides.
  • Black ink or toner originals yield the best quality.
  • Provide originals in PDF format via email or USB flash drive.
  • Use white paper for originals; avoid dark colors.
  • Ensure photos are print-ready.
  • Number all pages to prevent misordering.
  • Avoid pieced-together originals. If using cut and paste, send a photocopy as the original.
  • Trim solid black areas from originals.
  • Originals must fit within 8 ½” x 11”, 8 ½” x 14”, or 11” x 17” paper sizes.
  • Include permission to reproduce copyright materials with the order.

A quote/estimate will be provided upon request for purchase order processing. Jobs will not start without an approved purchase order or school check. Quotes are valid only if job details match the initial calculation.

Copyright Approval: A signature is required for responsibility over copyright compliance. Proof of permission is needed to reproduce copyrighted materials.
